Avoid

  • "I'm sorry you feel that way." This apologises for their reaction, not your action.

  • "I'm sorry, but you also…" Everything before the "but" is now scoreboard, not apology.
  • "I've said sorry, what more do you want?" A second apology cancels the first.

When should you send an apology?

Send an apology once the other person can hear it and before you have rehearsed it into something defensive. Same day is often too raw; two weeks later the silence has become the problem.

After you send it, stop. Do not follow up the next morning to ask if they read it. Do not send a second apology because the first one did not get the reaction you wanted. The apology was the thing you owed; the response is theirs to decide.

If they forgive you quickly, do not celebrate too hard. The proof of an apology is the next four weeks, not the reply.
